Incentive-Backed Procurement Management
Track incentive certificates from PR to invoice — never leave a benefit on the table.
What problem does it solve?
Incentive-backed purchases are tracked manually; which PR, PO and invoice belongs to which incentive certificate easily gets lost. Proving incentive scope at audit is hard and time-consuming.
How does the solution work?
Conforcus's incentive procurement solution starts the linkage at the purchase requisition (PR) and carries the incentive certificate through PO and invoice. Incentive scope stays visible at all times via an end-to-end PR-PO-Invoice report.
What changes in practice?
The flow starts at the purchase requisition: when a PR is raised for a need that falls under an incentive, the reference of the relevant incentive certificate is recorded on the document. When the requisition is converted into a PO the reference travels with it, and the invoice posted in invoice verification stays tied to the same certificate. The link is therefore not rebuilt by hand at period end; it forms as the document chain forms. The incentive scope report lists the PRs, POs and invoices linked to a selected certificate as an end-to-end chain, so scope can be read from the report at any time.
The procurement team enters the incentive information at requisition stage and does not need to look it up again or keep a separate list at the order and invoice steps. Because a purchase's link to its certificate does not get lost along the way, the incentive entitlement is tracked document by document. Finance and incentive compliance staff see from the report which purchase was made under which certificate, and the same report is used to demonstrate scope in an audit. The incentive data held on the documents and the content of the report are customized to the local incentive regulations the company is subject to.

Frequently asked questions
On which document is the link to the incentive certificate created, and how is it carried to the end of the process?
The link is created on the purchase requisition (PR); from there the incentive certificate reference is carried to the PO and to the invoice verification document. Every incentive-backed purchase therefore stays associated with the same certificate from PR to invoice. Because the link is held at document level, which PR, PO and invoice belongs to which certificate does not get lost along the way.
How do we prove incentive scope in an audit?
The end-to-end PR-PO-Invoice report shows the purchases made under an incentive certificate together with their requisitions, orders and invoices. Scope is demonstrated with that single report, and since every line rests on a document inside SAP, any document requested can be reached from it. As the report can be run at any time, scope stays visible throughout the process, not only at audit time.
How is the solution adapted to the company's incentive scheme and to local regulations?
The solution is customized in line with local incentive regulations. The information held alongside the incentive certificate reference and the content of the scope report are defined during implementation according to the incentive scheme the company uses. The underlying structure stays the same: the link starts at the PR and is carried to the PO and the invoice.
