Loaded (Input) VAT on Cost Report
Report VAT loaded onto cost with full traceability — speed up refund claims.
What problem does it solve?
Which cost object received loaded VAT, from which document and at what rate is often scattered, so gathering data for refunds and audits takes days.
How does the solution work?
Conforcus's loaded-VAT report compiles VAT amounts carried into cost by cost object, document and period, making the link between VAT and cost traceable end to end.
What changes in practice?
The report starts from the tax postings in FI and relates each VAT amount to the CO cost object on which the cost was posted in the corresponding document. When the user selects the period and runs the report, a single table appears: which document, which VAT rate, which cost object, and the loaded VAT amount arising from that link. The same data can be reviewed by document, rate, period and cost object. Because the breakdowns are designed in line with local VAT practice, the data needed for refund and audit preparation is gathered in one place.
When a refund file or an audit request comes in, the tax and finance team runs the report for the relevant period instead of combing through accounting documents and cost reports separately and matching them. When an amount is questioned, the document it came from, the rate applied and the cost object it was carried to are visible on the same row, and no extra working file is prepared to explain it. Cost accounting can also follow the VAT load carried by a cost object period by period. The team's time shifts from collecting data to checking it.

Frequently asked questions
How does the report link a VAT amount to a cost object?
The report takes the tax postings in FI as its basis and matches each VAT amount with the CO cost object on which the cost was posted in the corresponding document. Because the link is made through the document, the result rests on postings in the system, not on lists kept separately by users. In the output, each row carries the document, rate, period and cost object together.
What exactly does the report do in the VAT refund process?
The report compiles the data that refund and audit preparation rests on: it presents in one table which cost object the VAT loaded onto cost was carried to, from which document and at what rate. The assessment of which amounts go into a refund claim stays with the tax team. Since the report delivers the breakdown that assessment needs in line with local VAT practice, preparation time shortens noticeably.
How do we show the basis of an amount when it is questioned in a tax inspection or audit?
The document the questioned amount came from, the rate it was calculated at and the cost object it was carried to are visible on the same row of the report. The document itself is examined in FI, while the link between the document and the cost is already laid out in the report. If the underlying posting is later corrected, re-running the report for the same period reflects the current state.
