Procurement KPI Reporting
Manage procurement performance with your own data — see your PR-to-PO conversion time.
What problem does it solve?
Procurement performance is often managed by gut feel; which purchasing group or buyer works how fast, and where the bottlenecks are, stays unclear. The data sits in SAP but never becomes a meaningful KPI.
How does the solution work?
Conforcus's procurement KPI solution turns SAP data into meaningful performance indicators — for example, the PR-to-PO conversion time per purchasing group and buyer. Reports are tailored to each company's priorities.
What changes in practice?
The reports read data that already sits on purchase requisition (PR) and purchase order (PO) documents, so no separate data entry is needed. The interval between the date a PR is created and the date it is converted into a PO gives the PR-to-PO conversion time, and volume and performance indicators are calculated from the same documents. The indicators are presented by purchasing group and by buyer, so a manager can compare groups first and then the individuals within a group in the same report. Because the data comes straight from MM documents, every indicator rests on documents that exist in the system.
Which indicators are tracked is decided during implementation according to the company's priorities, and the report set is tailored accordingly. In day-to-day work the procurement manager goes into a performance review with measured times and volumes rather than impressions: in which purchasing group requisitions take longest to become orders, where workload piles up and where the bottleneck forms are answered from the report. Workload distribution and process adjustments are then decided on the basis of measurement. Improvement targets are tied to the same indicators and followed from one period to the next.
Benefits
- Procurement managed by data, not gut feel
- PR-to-PO conversion time visible per group and per buyer
- Company-specific KPI set surfaces the real bottlenecks
Where it sits in SAP
Runs on MM PR/PO document data; computes cycle time, volume and performance metrics broken down by purchasing group and buyer. A report set customizable per company.
Who it is for: Procurement Director, Operations & Supply Chain Lead, COO
Frequently asked questions
Which SAP data are the KPIs calculated from, and is any extra data entry needed?
The indicators are calculated from PR and PO document data in MM, with no extra data entry. PR-to-PO conversion time, for example, is the time from the creation of a PR to its conversion into a PO. Since the calculation rests on what is recorded on the documents, the accuracy of the results depends on requisitions and orders being entered in SAP as the process runs.
Which indicators are tracked, and can we define our own KPI set?
Cycle time, volume and performance metrics are calculated by purchasing group and by buyer, with PR-to-PO conversion time foremost among them. The report set can be customized for each company. Which indicators take priority is decided during implementation in line with the company's priorities.
How do the reports show where the bottleneck is?
Because the same indicator can be compared across purchasing groups and buyers, it becomes visible where requisitions take longer to turn into orders and where volume concentrates. The procurement manager identifies the bottleneck from measurement at group and buyer level rather than from impression. Decisions on workload distribution and process improvement rest on that data.
